Role
The individual will assist in all aspects of the administration process including, but not limited to the following:
- Matter Management: creating and maintaining matters as a “matter manager” of a portfolio of managed entities, billing and cash collection, closing and archiving completed matters.
- Case Management: satisfying statutory and regulatory requirements and maintaining managed entities in good order, carrying out day to day administration, providing administration services in respect of transactions undertaken by managed entities.
- Fully understanding regulatory and statutory environment and ensuring satisfaction of KYC / KYT / AML policy for all entities or investors.
- Opening and closing bank accounts and updating cash movements on bank accounts when required.
- Be responsible for incorporation of companies (including due diligence, preparation of inaugural resolutions, share register).
- Prepare Directors and Shareholders Resolutions
- Relationship Management: Maintaining a positive and pro-active relationship with clients, advisors and other intermediaries including the drafting of letters and documents, answering telephone calls in a professional manner, attendance at client meetings and the writing of minutes from meetings.
- Ensuring that files are maintained and up to date.
In addition to the duties listed above, the MIFA Administrator may be requested to perform any other ad hoc duties or projects as requested by their line manager.
Profile
- Fluency in English, both written and spoken, is essential
- Knowledge of French is useful but not essential
- A minimum of 2 years relevant experience is expected.
- Ability to work unsupervised, using initiative and with autonomy
- Proactive, mature, and able to work within deadlines
- Strong organisational and communication skills with strong attention to detail
- Ability to work within a team and under supervision inside a fast moving environment
- Previous experience of software packages such as outlook, excel and word is essential
- Ability to work confidently and in accordance with procedures
Educated to A Level standard or equivalent. Ideally the MIFA Administrator will be studying towards a relevant professional qualification. Alternatively appropriate experience will be considered sufficient.
