EXECUTIVE ASSISTANT/OFFICE MANAGER (M/F)
DO Recruitment is recruiting an Executive Assistant/Office Manager for a dynamic, innovative global leader in the food industry. The successful candidate will be responsible for the smooth operation of the office and for supporting staff in a newly created company HQ.
The role provides high-level executive support to the CEO as well as administrative support to the team and day-to-day office / reception management. Reporting directly to the CEO, the role involves interacting with clients, customers as well as internal stakeholders. The main responsibilities will include:
·Provide administrative and logistical support to the CEO and his team: prepare PowerPoint presentations, documents and other correspondence, coordinate diary, email and travel management, hard copy and electronic filing;
·Provide project administration and management support to the CEO and his teams including: maintaining work / project plans, tracking key tasks and budgets, preparing regular reports and updates;
·Liaise with customers, clients, suppliers, visitors as well as internal stakeholders across locations and hierarchies;
·Proactively lead sourcing and set up of suppliers to ensure office is fully operational;
·Manage office budget including suppliers, maintenance, travel;
·Undertake general office and reception duties (e.g. ensure office supplies are replenished and staff are adequately supported in their day-to-day office needs, troubleshoot office equipment etc.)
·Continuously improve the quality and efficiency of services provided.
THE CANDIDATE PROFILE:
·Professional qualification in business administration and/or equivalent qualifications and experience;
·Fluency in English is essential, as well as, a strong level in German and/or French. Knowledge of Italian is an asset;
·Excellent command of MS Office package (Outlook, Teams, Word, Excel, PowerPoint);
·Ability to quickly learn new IT programs and systems; knowledge of IT accounting systems (such as SAP) desirable;
·Entrepreneurial spirit - ability to perform tasks flexibly and adapt to new and changing situations;
·Ability to work independently and within a team ;
·Excellent interpersonal and communication skills;
·Great attention to detail;
·Budget and project management experience desirable.
Our client is a dynamic and sustainable leader in the food industry. They are currently setting up their Headquarters in Luxembourg.
