BASIC FUNCTION
To be responsible for the accounting and day-to-day administration of a portfolio of Luxembourg companies:
- Preparing and managing payroll operations for a dedicated clients’ portfolio
- Managing day to day accounting entries for a dedicated clients portfolio
- Preparing/Reviewing financial statements and periodical reportings under LuxGAAP’s
- Preparing/reviewing tax and VAT returns
- Maintaining contact with banks, Luxembourg authorities, and external providers
- Ensuring compliance with regulatory requirements
- Assisting with the setting up and administration of holding companies
- Assisting with the organization of board meetings and shareholders meetings
- Preparing legal documents (minutes of shareholders meetings and board meetings)
- Following-up the day-to-day operations and client requests
- Coaching and planning the junior accountants
PRINCIPAL DUTIES AND RESPONSIBILITIES
Financial
- Closely monitor the cash collection made by the corporate officers for the unpaid invoices
- Properly complete your time sheet
- Be aware of budget constraints
Client
- Know who are your main clients’ contacts and understand their activities
- Communicate adequately with the clients (professionalism) and be considered as the primary contact person by the clients
- Proactively handle client requests
- Meet client deadlines
Operations
- Understand the services proposed by Ocorian
- Be compliant with internal procedures and best practices
- Apply internal risk management procedures (i.e. KYC/AML) and ensure that junior accountants apply them
- Adhere to a confidentiality culture
- Fluently speak / write English
- Use adequately MS Office & accounting software
- Have deep knowledge in accounting/legal/corporate tax/VAT
- Proactively handle internal requests
- Have an active role in planning the junior accountants on their files
- Give regular feedback on the file progression to the managers
- Independently manage recurring projects
- Produce and provide the manager high-quality documents and ensure that the files are well organised
- Perform legal watch to remain up to date with laws governing recurring and non-recurring activities and propose proactive measures
- Share information within the team and suggest solutions to problems
- Give regular feedback up and down
- Identify unusual situations and immediately inform the managers
- Know the status of your work
- Take part in the development, implementation and improvement of procedures
