Based on this, the University has established in 2020 an Institute for Advanced Studies (IAS).
To ensure the long-term sustainability of its activities, the Institute for Advanced Studies (IAS) is recruiting a Project Officer to contribute to the coordination of the IAS projects and initiatives connected to the activities of the IAS.
Your role
As a Project Officer in IAS (Institute for Advanced Studies), you will primarily support the management and implementation of the Marie Skłodowska-Curie Actions (MSCA) COFUND project for doctoral recruitment at the University of Luxembourg's Institute for Advanced Studies.
Your main responsibilities include:
- Coordinating the flow of PhD project applications and linking candidates with potential supervisors in compliance with EU rules
- Handling high volumes of international applications, ensuring timely, accurate communication with candidates, supervisors, and internal stakeholders
- Liaising systematically with HR dpt and Doctoral Schools in order to following up on the hiring process
- Maintaining detailed records, tracking processes, and contributing to internal and external reporting
- Supporting internal IAS calls and workshops and collaborating daily with the project manager and administrative colleagues
Additionally, you will support the coordination of IAS internal funding instruments, including calls for projects, application procedures, evaluation processes, and follow-up activities, while ensuring transparency, efficiency, and compliance with internal guidelines.
Your profile
- Previous experience in project management, recruitment, or HR administration, ideally in an academic or research setting
- Strong organizational skills: able to track details and meet deadlines in a fast-paced environment
- Comfort handling a high volume of emails and process tasks, with good IT literacy, e.g., MS Office, document management tools
- Ability to interact effectively with a broad network of university stakeholders
- Strong written and oral communication skills in both English and French
