Our client, a European Institution, is looking for an Operational assistant who speaks english and french fluently. This is a temporary contract.

Main responsibilities:

  • Creating receipts each month & filing corresponding documents
  • Support with contract amendments, control of purchase orders and requisitions
  • Monitor payments and invoices, adapt created receipts with invoice value
  • Electronic and paper filing
  • Ensure the provision of office equipment and stationary supplies
  • Coordinate the administration of the team members On-Call Service
  • Procurement of material and/or equipment
  • Support creation and maintain information and data for reporting activities
  • Minutes of briefings and other meetings
  • Management of agendas, meetings and division communications and general coordination

Typical qualifications:

  • Secondary level education, complemented with a 2-year certification in a relevant field (e.g. secretarial studies, business administration)
  • At least 5 years' experience in an administrative support role, including at least 3 years in an operational assistant position

Key technical/professional knowledge and skills:

  • Strong organisational and administrative skills
  • Experience in working with multicultural and international teams as well as with external service providers
  • Knowledge of basic budget and receipts administration;
  • Experience in operational cooperation with IT technicians
  • Good knowledge of advanced functions in Microsoft Office
  • Working knowledge of contract management, understanding of service levels, performance monitoring and administration of documents
