Our client, a European bank, based in Kirchberg, is looking for a Administrative Assistant to join its Legal Directorate department. This will be a 2-months interim contract that may be extended in accordance with Luxembourgish law, for a maximum duration of 1 year.

Your responsabilities :
- Provide day-to-day administrative assistance to a team of legal and operational professionals, contributing to the smooth progression of ongoing activities.
- Support the preparation and finalisation of legal and contractual documentation, ensuring documents are correctly formatted and ready for execution.
- Coordinate signature processes, monitor pending actions and maintain regular communication with relevant internal and external stakeholders.
- Ensure that completed documentation is properly communicated, recorded, filed and electronically archived.
- Organise meetings, coordinate appointments and maintain calendars for members of the team.
- Review legal and contractual documents carefully, identifying formatting inconsistencies, typographical errors and other quality issues.
- Maintain accurate and structured electronic records while handling sensitive and confidential information with discretion.
- Collaborate closely with colleagues across administrative and operational functions and provide support whenever required.
- Manage several priorities simultaneously, ensuring deadlines are respected while maintaining a high standard of accuracy.
Your profile :
- Secondary education combined with a relevant two-year qualification, or equivalent professional experience in a related administrative field.
- At least 3 years of relevant experience in administrative, secretarial or legal support functions.
- Previous experience in a law firm, legal department, corporate environment or another legal/professional services setting would be highly valued.
- Excellent command of English, both written and spoken.
- Fluency in Spanish and Portuguese is mandatory.
- Strong proficiency in Microsoft Office, particularly Word, Excel, PowerPoint and Outlook.
- Good knowledge of Acrobat and electronic document management; experience with digital archiving and reporting systems would be an advantage.
- Excellent organisational skills and the ability to manage competing priorities in a deadline-driven environment.
- Strong attention to detail, particularly when reviewing and preparing formal documentation.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with different stakeholders.
- A reliable and accountable approach, combined with discretion when handling confidential information.
- Proactive, adaptable and solution-oriented, with the ability to work effectively both independently and as part of a team.
Package :
- Salary : €22.16 gross hourly
- 26 annual leave + up to 17 days bank holidays
