Executive Assistant - Temporary assignment

Our client, a European Investment Bank based in Kirchberg, is looking for its future Executive Assistant. This will be a temporary contract of 2 months. Please note that this assignment may be extended. Acting as the Director’s trusted right hand, you will play a key role in coordinating day-to-day activities, managing priorities, and following up on sensitive matters. This position requires excellent organisational skills, a high level of discretion, strong autonomy, and the ability to handle multiple tasks simultaneously in a demanding international environment.

Your responsabilities :
- Provide executive support to the Director, including calendar management, meeting organisation, appointment coordination, and handling internal and external communications.
- Organise business trips, conferences, and events, and prepare related briefing materials.
- Prepare, monitor, and coordinate documents requiring approval or signature, ensuring compliance with procedures and deadlines.
- Manage incoming and outgoing correspondence, follow up on actions, and prioritise requests according to the Director’s needs.
- Maintain an efficient electronic and paper filing system.
- Coordinate departmental and management meetings, including administrative preparation, document distribution, and follow-up of action items.
- Liaise with various divisions to ensure the timely circulation of governance-related documents and adherence to deadlines.
- Contribute to the management of the Director’s office environment and provide administrative support to the department.
- Act as a back-up for other members of the administrative support team when required.
Your profile :
- Secondary school diploma complemented by a qualification in administration, secretarial studies, business support, or a related field.
- Minimum of 5 years’ experience in an Executive Assistant, Personal Assistant, or senior administrative support role.
- Strong organisational skills with the ability to manage multiple priorities and tight deadlines effectively.
- High sense of responsibility, initiative, and ownership, with the ability to work independently.
- Excellent attention to detail, accuracy, and quality focus.
- Discretion, diplomacy, and professionalism when handling confidential information.
- Excellent interpersonal and communication skills, with the ability to interact confidently with senior stakeholders.
- Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
- Excellent command of English and a good knowledge of French; additional European languages would be considered an asset.
- Ability to work both independently and collaboratively within a team environment.
