Our client, a Investment bank based in Kirchberg is looking for its future Administrative Assistant in Human Ressources.
This will be a temporary contract of 2 months. Please note that this assignment may be extended, in accordance with Luxembourgish law, for a maximum duration of 1 year.

Your Responsabilties:
- Support the election committee with day-to-day administration, including preparing meeting notes and finalising minutes
- Draft, format, and update official communications such as announcements, instructions, reminders, and intranet posts related to the election process
- Manage and update voter lists and candidate information, ensuring accuracy and following up when information is missing or unclear
- Organise meetings by preparing documents, agendas, calendars, and managing access to shared files and archives
- Help publish internal communications in coordination with communication teams
- Assist with the electronic voting system, including responding to basic user issues, monitoring technical problems, and escalating when needed
- Handle incoming questions and complaints from staff during the election period, ensuring proper tracking and follow-up
- Provide general administrative support to the legal team (document preparation, filing, photocopying, routine admin tasks)
- Maintain accurate records and databases while ensuring strict confidentiality
- Support reporting activities by chasing updates, collecting information, and consolidating responses
- Work collaboratively with other assistants and provide backup when needed
Your Profile:
- Secondary education plus a 2-year qualification in a relevant field (or equivalent experience)
- At least 3 years of experience in administrative roles, preferably involving HR or legal work with confidential information
- Strong ability to handle confidential data responsibly
- Highly organised, detail-oriented, and good at prioritising tasks
- Strong computer skills (document management systems and Microsoft Office: Word, Excel, PowerPoint)
- Strong English and French skills; other EU languages are a plus
