For our client located in Luxembourg-city, we are currently looking for an :
Office Administrator
Position Overview
We are looking for an Office Administrator to ensure the smooth day-to-day running of our Luxembourg office, as part of a temporary contract.
This role focuses on operational continuity, office coordination, and administrative support.
Key Responsibilities
- Manage daily office operations to ensure a well-organized and efficient workplace.
- Welcome visitors, handle phone calls, manage reception, catering, and meeting set-ups.
- Sort and distribute incoming and outgoing mail in line with internal procedures.
- Maintain office supplies and coordinate orders with relevant vendors.
- Provide basic IT and general administrative support (filing, scanning, logistics).
- Support HR with onboarding coordination and workstation set-up.
- Assist expatriates with practical matters and coordination with local authorities when needed.
- Coordinate travel logistics (flights, hotels, transportation) using company tools and guidelines.
- Liaise with service providers and coordinate office maintenance or repairs.
- Support the organization of internal meetings and occasional events.
PROFIL
Qualifications
- Very good command of written and spoken English.
- Strong organizational and communication skills.
- Ability to work autonomously, handle priorities, and manage several tasks in parallel.
- Previous experience in office administration or a similar coordination role.
- Good working knowledge of standard office tools and administrative systems
Start date : ASAP
Size of the team in Luxembourg : 7
Salary : 4,000EUR gross per month - 40h/week
