Your role
The University of Luxembourg is looking for an Administrator with a focus on Space and Logistics to support the ongoing development and optimisation of its campus infrastructure.
You will join the Facility Management team and report directly to the Strategy and Planning Team Leader. The role is designed as a transversal support function, contributing to space planning, logistics coordination and process structuring across the University.
Main responsibilities:
- Space management & space planning
- Contribute to the strategic planning and optimization of workspaces across the University
- Analyze space needs in close collaboration with internal users
- Develop space allocation scenarios and proposals, balancing functionality, comfort, performance and scalability
- Ensure clear communication with stakeholders throughout the space planning process
- Support to goods management
- Contribution to the management and monitoring of assets and equipment throughout their life cycle
- Contribute to the standardisation and harmonisation of inventory processes related to scientific equipment in coordination with research entities, which remain responsible for the physical inventories
- Support to space data & logistics coordination
- Support logistical coordination for relocations and specific operational events
- Provide backup support for space data management tools (e.g. Archibus)
- Participate in the drafting of standards and guidelines related to space and logistics practices
Your profile
Education & experience
- Bachelor level or equivalent experience in logistics, facility management, administration, engineering, architecture or a related field
- Relevant first professional experience is an asset
- Strong interest in space management, coordination and operational environments
Skills & mindset
- Analytical and structured thinking; ability to work on scenarios and simulations
- Strong communication skills and ease interacting with diverse stakeholders
- Ability to work autonomously, with curiosity and a proactive attitude
- Ability to write clear, structured and professional documentation
Tools & languages
- Good command of standard office tools - Microsoft Office
- Experience with specific software such as Quarks, Archibus and AutoCad would be an asset
- Fluency in French and English is required
- Knowledge of Luxembourgish and/or German is considered an asset
