Our client, a European institution, is looking for an Administrative Assistant who speaks english fluently. The temporary contract starts as soon as possible.
Responsibilities :
- He organises meetings in Luxembourg with external counterparts.
- The candidate organises the Director's agenda/calendar.
- He organises business trips and prepares the relevant expense reports.
- The candidate prepares presentations, due diligence dossiers and letters to external counterparts.
- He prepares, distributes and follows up reports and notes, incl. overview tables and quarterly reports when needed.
- He organises team meetings, takes & dispatches meeting minutes.
- The candidate drafts routine correspondence and edits materials.
- He undertakes related electronic (using the internal data storage system) and paper filing.
- The candidate communicates efficiently (face-to-face, phone, email) with the team members but also with internal as well as external clients; cooperates with the other teams' assistants and other interfaces.
- He creates and processes requisitions/purchase orders/receipts for conference attendance, business meals, other relevant expenses.
- The candidate follows up on internal documentation throughout the approval process.
- He produces and processes counterparty consultation letters as required by the organisation's procedures.
- The candidate has a certified secondary level education.
- Any additional certifications indicating specialisation would be an advantage.
- The candidate has between 2 and 5 years of administrative experience in a financial, compliance and legal or audit environment and understanding of financial, compliance and legal documentation.
- He has experience of handling sensitive, confidential, and strictly confidential information.
- The candidate has excellent knowledge of standard computer tools and MS Office tools (particularly Excel and PowerPoint).
- He has excellent written and spoken English; knowledge of French and/or other EU languages would be an advantage.
