Our client, an european institution is looking for an operational - administrative who speaks English and French fluently. This is a temporary contract.

The candidate provides administrative and secretarial assistance in the preparation of notes, presentations and other relevant documents in accordance to the standard of presentation for the different types of notes.
He manages the process of distribution of notes and follow the different deadlines with the authors of the notes.
He coordinates the team's time and labour registration, prepares the associated labour cost calculations and liaises with the Bank's central budgeting division.
He follows-up of key deadlines for the projects, notes and reporting of the division.
He manages updating of databases, plans and maintains the electronic archives.
The candidate assists in the preparation and planning for various events (e.g. organising meetings, presentations, seminars, conferences, travel).
He manages telephone coverage, mail/ document distribution, diary scheduling.
He prepares letters and other documents and organises appropriate approvals and signatures.
The candidate finalises, distributes and files documents and reports.
He cooperates with the other secretaries and members of the Department; contributes to a good working atmosphere within the division and the Department in order to facilitate the timely implementation of tasks, smooths flow of information and achievement of objectives.

The candidate has a secondary level education, complemented with a 2-year certification in a relevant field (economics, legal, business administration) or secondary level education with equally qualified experience in a relevant field.
He has at least 3 years of secretarial experience.
He has excellent knowledge of standard MS Office Tools (Word, Excel, PowerPoint).
He has some knowledge and experience in the use of electronic filing systems.
He has organisational skills, forwards planning and attention to detail.
The candidate has an excellent knowledge of written and spoken English and good knowledge of French ; knowledge of another European language would be an advantage
Experience with budgeting, cost calculations and associated processes would be a plus
A prior experience in an european institution could be considered as a real advantage.
