Our client, a public institution is looking for an Administrative Assistant temporarily starting as soon as possible.

Your responsibilities will encompass supporting the implementation and execution of HR policies, tools, and processes within institutional, legal, and procedural guidelines. You will contribute to the timely and accurate recording, functioning, and reporting of various HR processes and information. 


Your Responsibilities


1. HR Data Management:

  • Collect, control, correct, and administer input of data in HR systems, tools, and administrative systems.
  • Record and maintain accurate HR data in personnel administrative systems.
  • File and archive relevant HR documents.

2. Point of Contact:

  • Act as the primary point of contact for HR-related inquiries from internal staff, colleagues, and external contacts.
  • Answer HR-related questions or transfer them to the appropriate HR department.

3. Documentation and Correspondance:

  • Draft employment contracts, correspondence, and complete relevant forms as necessary.
  • Register and update HR data in personnel administrative systems.

4. Salary and Payroll Processing:

  • Register and process data related to salary, payroll, compensation, and non-recurrent financial incentives.
  • Verify and approve salary batches for processing.

5. HR Systems Optimization:

  • Provide input on the use and optimization of HR systems, such as SAP and ACME.
  • Assist in testing new applications or updates to HR systems.

6. Compliance Monitoring:

  • Monitor compliance with HR policies, employment rules, and institutional guidelines.
  • Ensure adherence to relevant rules and policies within the institution.
  • Liaise with the central HR department to provide advice and ensure compliance with HR rules and policies.

Your Profile 


  • Bachelor's degree in Human Resources, Business Administration, or related field.
  • Familiarity with HR policies, procedures, and systems.
  • Strong attention to detail and accuracy in data entry.
  • Excellent communication and interpersonal skills.
  • Proficiency in HR software and tools (SAP experience is a plus).
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong organizational and time-management skills.
  • Problem-solving abilities and a proactive approach to HR challenges.
