Location: Luxemburg (in-office);
Salary: €50,000 to €58,000

What you'll do
- Keep the office running smoothly day-to-day: supplies, vendors, building management, and workplace logistics.
- Coordinate onboarding logistics end-to-end, including documentation and set-up steps so new starters feel looked after from day one.
- Maintain accurate compliance-related paperwork and records, with clean documentation standards and reliable follow-through.
- Provide structured administrative support to the Managing Partner, tracking actions and follow-ups so nothing slips.
Who we're looking for
Years of experience is just a number. We care more about how you think, learn, and show up.
Must-Haves:
- 3–5 years of relevant corporate experience in at least one of: office administration, team/project coordination, executive/business support, or junior HR administration.
- Professional fluency in both German and English (written and spoken)
- A structured, detail-oriented working style — you naturally build checklists, trackers, and routines.
- Discretion and sound judgment with confidential information and sensitive documentation.
- Confidence coordinating third parties (vendors/suppliers/building management) with polite urgency and clear follow-ups.
- Comfortable working fully in-office and being the day-to-day “go-to” for workplace operations.
Nice-to-Haves:
- Experience directly supporting a senior leader (Managing Partner/GM/Founder) with action tracking and follow-through.
- Exposure to compliance-adjacent admin (policy acknowledgements, HR files, audit-ready record keeping).
- A track record of improving workplace systems (templates, onboarding checklists, inventory controls, vendor scorecards).
