TASK RESPONSIBILITIES:

Overall, the selected candidate will support the Material Management department by translating the airline strategy into material processes and daily tasks, collecting and analyzing data to establish KPIs, leading projects for stock optimization, serving as an escalation point for material issues, and overseeing data integrity in MRO software modules. Additionally, out of office hours flexibility required when necessary, contribute to team efforts through training, providing software support, and complying with Aviation Regulations. The following responsibilities are included in the position’s day-to-day activities:

 

Inventory Management and Outstation stock:

  • Align material strategy with Nominated Person's goals.
  • Analyze and support material needs for Fleet Initial Provisioning, new aircraft phase-in, and Maintenance.
  • Ensure optimal balance between part availability and stock value in Parts inventory.
  • Ensure material availability at specific outstations, handling part transfers from main stock to station stock according to Airline Strategy.
  • Plan long-term for time-controlled components, suggesting investments when needed.
  • Manage material requirements from Engineering (SRM, SB, EDR, SL, ERM, SDR, AD).
  • Monitor and process requisitions for stock resupply, including reorder, scrap, and tooling requirements; implement proactive reports to prevent low and zero stock situations.
  • Assist with inventory reconciliations, recounts, and shelf life reviews for the Material Control team.
  • Maintain P/N Master info and interchangeability per documentation or in collaboration with Engineering.

 

General Order Administration:

  • Manage end-to-end procurement workflow for fleet supplies, consumables, and rotables.
  • Oversee repair process from creation to delivery, including shipment, quote, invoice, and warranty discussions.
  • Ensure orders adhere to approved sources, handle pending invoices, and support in resolving discrepancies with vendors, regularly reviewing quarantined parts.
  • Review warranty claim status, identifying eligible orders for Removal/Reinstallation/Labor, Shipping costs, and required materials.
  • Manage end-to-end warranty workflow, including creation, compilation, follow-up, credit note review, and communication with accounting. Resolve discrepancies related to warranty orders with vendors
  • Provide solutions (purchase, loan, or exchange) for AOG due to material absence.
  • Organize part transport at any station, analyzing options for optimal support.
  • Coordinate AOG material requirements with the Nominated Person and regularly review open loans/exchange transactions.

 

Vendor Performance:

  • Centralize communication with vendors, handling warranty cases, discrepancies, and monitoring performance. Contact relevant persons/departments when required.
  • Follow up on open purchase and repair orders, ensuring stock availability for operations.
  • Maintain MRO system with up-to-date order status and contact details.

 

ESSENTIAL REQUIREMENTS FOR THE POSITION:

  • Master or Bachelor degree in Engineering or equivalent operational experience.
  • Excellent communication, writing, creative, critical thinking and problem solving skills;
  • Customer oriented;
  • Ability to meet tight deadlines and to adapt to a rapidly changing environment;
  • Ability to work individually as well as working in a team;
  • Ability to take initiatives and set priorities;
  • Methodical and organized way of working with attention to detail;
  • Experience in aviation industry and/or maintenance is required;
  • Fluency in written and spoken English, any additional language will be considered an asset;
  • Good computer skills with proficiencies in Microsoft Office in a Windows environment (Excel, Word, Powerpoint, etc...).

 

WORKING CONDITIONS:

  • Permanent full-time position based in our HQ in Luxembourg.
  • The position demands a regular presence in the office and requires vacation and other absences to be planned to avoid conflicting with service needs. Flexibility is needed with working hours.
  • Occasional travel may be required.
  • A Certificate of good conduct (Casier judiciaire, Polizeiliches Führungszeugnis) will be required in case of positive selection
