Our client, a Investment bank based in Luxembourg is looking for its future Administrative Assistant for their Operations department.

This will be a temporary contract of 2 months. Please note that this assignment may be extended, in accordance with Luxembourgish law, for a maximum duration of 1 year.

Your responsabilities :

  • Help loan officers collect, organise and update business information and contact details.
  • Support the administrative side of the lending process from start to finish.
  • Track deadlines and ensure tasks are completed on time.
  • Organise meetings, appointments and business trips for loan officers and the Head of Division.
  • Prepare briefing materials for meetings and business trips.
  • Assist loan officers during the lending process and help follow up on projects when needed, working with other teams involved.
  • Finalise, distribute and file reports and documents prepared by loan officers.
  • Manage phone communication with clients and ensure information is shared when loan officers are travelling.
  • Maintain and update statistics and the project pipeline.
  • Ensure internal procedures are followed during the lending process.
  • Enter and maintain data in the loan database for reporting and statistical purposes.
  • Carry out ad-hoc research tasks such as online searches and data collection.
  • Prepare reports and presentations related to the division’s activities.
  • Organise internal meetings, events and conferences.
  • Work closely with other administrative staff and members of the department.
  • Help train new colleagues on internal procedures when required.
  • Contribute to a positive and collaborative work environment to ensure tasks are completed efficiently and information flows smoothly.

Your profile :

  • Secondary school education, preferably with a 2-year certification in a relevant field such as secretarial studies or business administration.
  • Minimum 3 years of experience in an administrative support role.
  • Strong knowledge of Microsoft Office tools (Word, Excel, PowerPoint).
  • Fluent English (written and spoken).
  • Good knowledge of French.
  • Knowledge of other European languages (e.g., German) is considered an advantage.
