Our client, a prestigious international business law firm based in Luxembourg, is expanding its team and is looking for an experienced Personal Assistant to support one of its Partners.

The Luxembourg office advises clients active in Asset Management, Investment Funds, and Financial Institutions, providing high-quality, sector-focused legal services.
Your role
As a Personal Assistant, you will play a key role in supporting a Partner in the daily management of their activities, ensuring smooth operations and a high level of service to clients and internal stakeholders.
Your responsibilities will include:
- Managing the calendar, mailbox, and diary of a Partner
- Organising travel arrangements, accommodation, and meetings
- Coordinating and organising events and professional engagements (including registrations)
- Acting as a primary point of contact for clients and internal departments
- Maintaining and updating the client database
- Handling general secretarial and administrative tasks, including email and telephone correspondence
- Supporting project management activities
- Drafting correspondence, legal documents, presentations, and other materials
- Performing submissions with the Luxembourg Business Registers
- Ensuring strict confidentiality of all client and firm information
Your profile
- 5-8 years of experience as a Personal Assistant, Executive Assistant, Administrative Assistant, or in a similar role (mandatory)
- Previous experience within a Luxembourg law firm or a comparable professional services environment
- Excellent communication skills in English and French; German is considered an asset
- Degree in secretarial studies or an equivalent qualification
- Strong IT skills, particularly in Word, Excel, PowerPoint, and Outlook
- High level of discretion, trustworthiness, and organisational skills
- Proactive problem-solver with the flexibility to think creatively
- Strong team player, with the ability to work independently
- Excellent time management, multitasking, and prioritisation skills
- Ability to deliver high-quality work under tight deadlines
